Boardroom video conferencing has to work for a long table, not a small desk. This boardroom in Dublin city centre, photographed in March 2023, has a light timber table with black leather chairs, two large screens side by side on the end wall and a camera mounted below them. We installed and set up the screens and the camera. Both screens were showing live video when these photos were taken, so we have blurred them.

Twin screens on the end wall

The two screens sit edge to edge on a grey wall and read as one wide display, which suits a boardroom where people sit along the full length of the table. Nothing else on the wall competes with them.

A camera below the screens

The camera is fixed to the wall at the centre, just below the screens. Placing it close to the screens means that when people look at the faces on the display they are also looking roughly towards the camera, which makes the call feel more natural for the people at the other end.

The challenge of a long table

A long table makes video calls harder. People at the far end can look small on the screen and sound distant, so the camera view, the microphone coverage and the speakers all need attention, not just the display.

Planning boardroom video conferencing

Start by deciding who needs to be seen and heard, and from where. Then choose screens that suit the room, a camera that covers the whole table, and microphones and speakers that reach the back row. AVIXA, the audiovisual industry body, publishes standards and a calculator for working out how large a display should be for the people looking at it.
